We have an exciting opportunity for an Office Support Administrator to join our proactive team in Dundee. Our administration team plays a vital role in supporting approximately 200 Partners and staff across all of our departments. We’re looking for someone who thrives in a professional office environment, with excellent organisational skills, attention to detail, and a friendly, client-focused approach.
What you will be doing:
- Providing reception duties and welcoming visitors in a professional and friendly manner.
- Answering calls promptly and professionally, taking messages as required.
- Maintaining and enhancing our professional, well-organised front of house.
- Managing room and hospitality bookings, such as booking lunches, preparing hospitality, and making sure meeting rooms are tidy and appropriately set up before and after use.
- Dealing with incoming and outgoing mail. This includes taking the post to the Post Office.
- Aiding the Administration Manager with tracking inventory, restocking supplies such as stationery, printer paper, and other essentials, and liaising with suppliers and ordering supplies as needed.
- Undertake basic facility duties such as, undertaking fire exit checks, general tidying up of the office and meeting rooms, stocking up tea/coffee/stationary supplies, keeping Kitchen tidy, cleaning coffee machine, etc
You will:
- Demonstrate your ability to provide remarkable customer service
- Have strong administrative skills and experience
- Be educated to Higher Level (or equivalent) with a strong pass in English
- Be professional, welcoming, and an enthusiastic team player with a ‘can-do’ attitude
- Thrive in a fast-paced environment, demonstrate multitasking capabilities, and stay calm under pressure
- Have outstanding organisational and communication abilities with the capability to plan ahead
- Exceptional written and verbal communication skills
- Be self-motivated and capable of working with minimal guidance
- Proficient in IT – specifically Word, Outlook, and Excel. Training may be given as required.
